Terms & Conditions
Last updated 2 November 2026These terms apply to every wedding, elopement and event filmed by Pine-Tree Weddings (Ryan Weir, trading as Pine-Tree Weddings, Northern Ireland). By paying your booking fee you confirm you have read and accept them. If anything in your signed booking agreement differs from these terms, your booking agreement takes priority.
1. Booking and payment
- Your date is only reserved once we have received your signed booking agreement and your £150 booking fee.
- The booking fee is non-refundable, because we turn other couples away for your date.
- The remaining balance is due 7 days before your wedding. If it hasn't been paid by then, we may treat the booking as cancelled.
- Prices are fixed once you book. Anything you add later (extra hours, add-ons, travel) is charged at the rate at the time.
2. If you cancel or change your date
- Cancelling: let us know in writing (email is fine). The booking fee is kept. Any other money already paid will be handled as set out in your booking agreement. If you cancel within 7 days of the wedding, the full fee is payable.
- Moving your date: we'll always try to help. If we're free on your new date, your booking moves across. If we're not available, the change is treated as a cancellation.
- Reducing coverage after booking may not reduce the price, as the date is already reserved for you.
3. If we can't be there
In the very unlikely event that illness, injury, a family emergency or something else outside our control stops us filming your wedding, we will do everything we can to send an experienced videographer we trust in our place. If we can't, we will refund everything you've paid, including the booking fee. Our responsibility is limited to that refund.
4. Our style and creative choices
- We film in a natural, documentary way. We don't stage, direct or repeat moments, so the film reflects what really happened on the day.
- You're booking our style as shown in our portfolio. Editing decisions (which moments are used, music, colour, pacing and running time) are ours to make.
- We'll gladly take a list of must-have moments and people, but we can't guarantee that every guest, detail or moment will appear in your film.
- Running times are approximate and vary with how your day unfolds.
5. Things outside our control
We'll always do our best, but some things affect your film that we can't control:
- Venue and ceremony rules. Some churches, officiants and venues limit where we can stand, whether we can move during the ceremony, or whether we can film at all. We'll follow their rules.
- Light and weather. Dark rooms, harsh sun, rain and wind all affect what can be filmed and how it looks.
- Timings. If the day runs late or plans change, some parts may fall outside your booked coverage. Extra time on the day is charged at our hourly rate, if we're able to stay.
- Guests and other suppliers. Guests with phones and cameras, other suppliers, or people standing in the way can block shots.
None of these are grounds for a refund.
6. Drone footage
- Drone footage is always weather and location permitting. We won't fly in rain, strong wind or low cloud, near crowds, in restricted airspace, or where the venue or local rules don't allow it.
- We fly under UK CAA rules, and Irish IAA rules for weddings in the Republic of Ireland. The final decision to fly is always the pilot's, for safety.
- If drone footage isn't possible on the day, the rest of your film is unaffected and no refund or substitute is due.
7. Audio
We use discreet microphones for your vows, readings and speeches. Audio can be affected by things outside our control: an officiant or venue not allowing microphones, the venue's own sound system, wind, background noise, or a speaker moving away from the microphone. We'll always do our best to capture clear sound, but we can't guarantee perfect audio in every situation.
8. Equipment failure and lost footage
We use professional cameras, record to two memory cards at once where possible, carry backup equipment, and back up your footage as soon as we can after the wedding. In the rare event that footage is lost or damaged through equipment failure, a corrupted card, theft, an accident or anything else beyond our reasonable control, our responsibility is limited to a partial or full refund of the fees for the coverage affected. We can't recreate an event that has passed.
9. Delivering your films
- Your teaser usually arrives within about 2 weeks, and your finished films within about 8–10 weeks in peak season. These are estimates, not guarantees, and busy periods can take longer.
- Films are delivered through an online gallery or download link. Please download and back up your films as soon as you receive them.
- We keep your footage for at least 12 months after delivery. After that we may delete it, so we can't guarantee to supply copies or re-edits later.
- Raw, unedited footage is not included unless agreed in writing beforehand.
10. Changes after delivery
- You can ask for small changes (for example a spelling in a title, or a short trim) within 14 days of delivery. We'll make reasonable small changes once, free of charge.
- Larger re-edits, a different music track, or changes asked for later may be charged.
11. Music
We use properly licensed music in your films. That means we can't use popular chart songs, and some platforms may still flag or mute music. We're not responsible for how social media sites treat music in your films.
12. Who owns the films
- We keep the copyright in all footage and films we create.
- You get a personal licence to keep, watch and share your films with family and friends, and to post them on your own social media (please tag @pinetreeweddings).
- You can't sell, edit, remix or use the films commercially, or enter them into competitions, without our written permission.
- We may use your footage and stills in our portfolio, on our website, on social media, in advertising and in competitions. If you'd rather we didn't, tell us in writing before your wedding and we'll keep your films private.
13. Your part
- Send us your timeline, venue details and key contacts at least 2 weeks before the wedding.
- Check with your venue and officiant that filming (and drone flying, if you'd like it) is allowed.
- On long days, please make sure we have a hot meal and a short break, ideally while guests are eating.
- Let your guests know there will be a videographer, so anyone who'd rather not be filmed can tell us.
14. Safety and behaviour
We may stop filming or leave if we're asked to do anything unsafe, or if we're treated abusively or threatened. In that case no refund is due for the coverage missed.
15. Your information
We only use your personal details to plan and deliver your wedding film and to keep in touch about it. Your details are stored securely in our booking system and are never sold or shared with anyone except where needed to provide our service. You can ask us at any time what information we hold about you.
16. Limits of our responsibility
Our total liability to you for anything connected with your booking is limited to the total fees you've paid us. We aren't responsible for indirect losses, such as costs from other suppliers or emotional distress. Nothing in these terms limits liability for death or personal injury caused by our negligence, or anything else that can't be limited by law, and your statutory rights are not affected.
17. Small print
- If any part of these terms can't be enforced, the rest still applies.
- These terms are governed by the law of Northern Ireland, and any disputes will be handled by the courts of Northern Ireland.
- We may update these terms from time to time. The version in force when you booked applies to your booking.
