This notice explains what personal information Pine-Tree Weddings collects, why we collect it, and what we do with it. Pine-Tree Weddings is run by Ryan Weir, a sole trader based in Northern Ireland. For data protection purposes, we are the "controller" of your information.

What we collect

When you enquire: your names, email address, phone number (if you give it), wedding date, venue, and anything else you choose to tell us in the form.
When you book: the details in your booking agreement, your billing address, and a record of your payments. Card payments are handled by the payment provider. We never see or store your full card details.
On your wedding day: video, photos and audio of you, your guests and your day. That is the job you've booked us to do.
When you visit this website: the basic technical information every website receives, such as your browser type and the pages you view. It isn't used to identify you.

Why we use it

To reply to your enquiry and send you our brochure and prices. This is a step you've asked us to take before entering into a contract.
To plan, film and deliver your wedding film. This is needed to carry out our contract with you.
To keep financial records. The law requires this.
To show our work in our portfolio, on this website and on social media. This is our legitimate interest as a creative business. You can opt out at any time before your wedding, as set out in our Terms.

We will never sell your information, and we don't send marketing emails unless you've asked for them.

Who we share it with

We only share your information with trusted services that help us run the business, and only as much as they need:

Studio Ninja: our booking and client management system. Enquiries, contracts, invoices and messages are stored here.
Payment providers: to take your booking fee and balance.
Film delivery and storage services: to store your footage safely and deliver your finished films.
Another trusted videographer, only if we ever need to send someone in our place (see our Terms).
Our accountant, and HMRC, where the law requires it.

Some of these services may store data outside the UK. When they do, they use the legal safeguards that UK data protection law requires.

Cookies and this website

This website does not use advertising or tracking cookies. It's hosted by Cloudflare, which processes basic connection data to keep the site fast and secure. We may use Cloudflare Web Analytics to count visits, which works without cookies and doesn't identify you.

Some pages include videos from Vimeo and YouTube. When you press play, those services may set their own cookies. We use YouTube's privacy-enhanced mode where we can.

How long we keep it

Enquiries that don't go ahead: up to 2 years. After that we delete them.
Booking and payment records: 6 years, as required for tax.
Footage: at least 12 months after delivery, as set out in our Terms. Finished films we've shared publicly may stay in our portfolio unless you ask us to remove them.

Your rights

You have the right to:

ask for a copy of the information we hold about you
ask us to correct anything that's wrong
ask us to delete your information, unless we have to keep it by law
object to us using your footage in our portfolio or on social media
ask us to restrict how we use your information, or to send it to you in a format you can reuse

To do any of these things, email films@pinetreeweddings.co.uk. We'll reply within one month.

If you're unhappy with how we've handled your information, please talk to us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The latest version will always be on this page.
